DEAN'S COUNCIL MINUTES: Nov. 6, 2012


I.                       Welcome and Introductions

Mara welcomed Laura Gewissler, Director of Collection Management Services, and the Council members introduced themselves.  

II.                    Organizational Communication and Planning

As the UVM Libraries prepare for the next period of strategic planning, in addition to welcoming a new director to the team, the Dean’s Council will work with an expert in organizational development to help manage change, improve communication, and to work more efficiently and effectively.   

Cortney Cahill of the local company Cahill Collins Consulting Partners has worked with other departments at UVM, Fletcher Allen Health Care, Dealer.com, Champlain College, and many international organizations. She will meet with Council members individually and as a group over the next few months. She also will lead the Council in two half-day retreats as they begin the strategic planning process.  

III.                Commemorating Employees

The loss of Brenda Hutchins, a long-time colleague of our Libraries, prompted the question of how we honor beloved co-workers who pass away. Although the idea of naming rooms was raised, UVM has constraints regarding that process. Another idea, for Brenda in particular, was to add her name to one of the staff awards instead of having them both named for Delmar Janes. Other ideas included benches and trees with plaques, or naming collections. Mara will speak with the Faculty/Staff Development Committee soon.

 IV.                Digital Measures

By now, all UVM Faculty should have Digital Measures account. Essentially, Digital Measure is an electronic data base of CV’s that provides uniformity and accessibly of information. One issue for Libraries’ faculty is the lack of space to record Educational Mission activities. A request will be made to Larry Kost about tweaking the online form. Alison, Paul and Sarah will debut the tool to faculty in an open forum.

V.                  Food Bank Drive

The Libraries Social Committee, this year, will raise funds both online and in person to make a cash donation to the Chittenden County Emergency Food Shelf. The cash donation will help more families because the Food Shelf can purchase holiday meals at a fraction of the cost. We will also have pilot food drop near the entrance of Bailey/Howe. Details are forthcoming.

VI.                Smoking in Front of B/H

The new signage by the entrance of Bailey/Howe seemed to be effective at curbing smoking first, but the problem has returned now that temperatures are dropping. A small group has met to discuss the issue: difficulties with enforcement; SGA involvement; clarifying the 25-feet rule; and, etc.

                        VII.              Libraries Faculty Meeting

The Libraries Faculty meets on Monday, Nov. 12 at 2 p.m. in the Dean’s Conference Room.

VIII.            Annual Meeting

The Libraries Annual Meeting will take place in the Staff Lounge of Bailey/Howe on Tuesday, November 20, from 9 - 10:30 a.m. The reports will be distributed by Friday, Nov. 16.
