DEAN'S COUNCIL MINUTES: Oct. 23, 2012



I.                   Updates from the Dean

 Mara met with Provost Knodell, VP Cate and Bob Vaughn from Campus Planning to express ongoing concerns with B/H space and infrastructure issues. The group agreed that the problems need to be resolved and that planning and renovation should commence. Further details are forthcoming. 

      II.                 Courier Route

The Courier route to/from the LRA and Williston is being re-evaluated for safety and efficiency. Paul and Jeff are working together to find best practices for meeting patrons needs and managing staffing issues.  

III.              CATQuest

Alison reported on an Ex Libris event in Ithaca, New York; the UVM Libraries are in sync with peer intuitions with regard to SFX and PRIMO and Voyager.

IV.              PRIMO

An upgrade to PRIMO will be scheduled to take place during the two holiday breaks in November and December.

VI.   ARL Membership

Nancy has made the initial, informal inquiry into Association of Research                                  Libraries membership. We are now waiting for a response.


VII. Digital Backup

Birdie is keen to get digital backup storage for the work amassed by the VTDNP. She will report  back with costs, etc.

VIII.  Exhibit Committee

Nancy and Selene will co-chair with B/H Exhibit Committee with Prudence Doherty, Aaron Nichols, Sarah Paige, Scott Schaffer and Sue Bishop. The group will convene post haste.

Dean’s Council Minutes Oct. 9, 2012




I.                   Reappointment Timeline and Calendar

The Libraries are working toward syncing our guidelines for reappointments and promotions with campus-wide procedures for pink, green and blue sheets. 

II.                ALANA Breakfast

            The Libraries will host the ALANA breakfast on Feb. 8, 2013, a Friday morning, at Blundell House. Volunteers from all departments are needed for three shifts: prep/cook/clean. The Dean’s Office will coordinate shifts and volunteers. Interested colleagues should contact Sarah.Gordon@uvm.edu.

III.             UVM Policies vs. Libraries Policies

Question was raised if the Libraries’ Policies are in compliance with the University’s. If not, is there a need for reconciliation? General Counsel will be consulted, particularly on the matter of actions to be taken in the event of a subpoena being served.

IV.              Smoking and Signage

Complaints from students, faculty and staff continue about smoking in front of Bailey/Howe despite new signage. There is a University-wide policy that no smoking can take place within 25-feet of a building. Some smokers are reluctant to move away from the doors, however, making the policy difficult to enforce. The Council decided to strategize, again, with SGA President and VP Bill Ballard and thereby work toward a compelling case for assistance from campus security and student peers.


V.                Faculty Senate Libraries Advisory Committee Motion

The motion to form a Faculty Senate Libraries Advisory Committee passed by 97 percent on Monday evening. At issue now is how it will be structured. Mara will take a leadership role. Selene will pull samples of how other institutions have formed similar committees. Next step is that Mara will get clarity on membership and charge from Faculty Senate President Julie Roberts.

VI.             Copyright Policy

Mara has been working with General Counsel about creating one campus-wide copyright policy. Mara brought the policy-in-progress to the DC for review, and will then circulate the next iteration to  policy stakeholders. The DC saw the need for an addendum with definitions.

CATQuest Launch Success


Here's the recipe for a great marketing event:

Combine a great product, with great people, add free coffee and mugs, procure a super photographer, some crazy costumes, get a furry mascot, and cider donuts. Mix and enjoy!

The Annual Faculty/Staff Awards Luncheon, on Wednesday, October 24, 12-1:30 p.m. Join us in the Silver Maple Ballroom at the Davis Center for a fajita bar and excellent cake to honor Elinor Avery, Chris Krupp, Elizabeth Berman, and Jeanene Light.
 
The Annual Meeting, on Tuesday, November 20, 9-10:30 a.m. in the B/H Staff Lounge. The report will be distributed on the Friday before the meeting! Come ask questions and enjoy coffee, tea and pastries.
